Privacy policy
What the platform records about the people who use it, why, and what you can ask us to do about it.

01What we hold
Account details: name, email address, telephone number, the stud or organisation you act for, your country, and the role a show has granted you.
Show records: the horses you enter, their pedigree and registration details, the classes entered, entry fees, invoices and payments.
Judging records: the scores a judge enters, the ballots they cast, and the time and account behind each one.
Technical records: sign-in times, the pages your account requested, and enough of an audit trail to answer who changed a result and when.
02Why we hold it
To run the show you have entered or been appointed to: producing the draw, the catalogue, invoices, confirmation letters, results and prize reports.
To attribute actions. A score without an author is not a usable record, and the ability to answer a challenge weeks later is the point of keeping it.
To contact you about a show you are involved in — a confirmation letter, an invoice, a change to a class you are entered in.
We do not sell personal data, and we do not use it for advertising.
03Card details
Full card numbers are never stored. A payment record holds only the card brand and the last four digits, which is what a receipt needs and no more.
Card data is handled by the payment provider the show uses; we do not receive it.
Authentication tokens are stored hashed, never in a form that could be replayed, and are not written to logs.
04Who else sees it
The show organiser and its staff see the records of their own show, limited by the permissions attached to each role.
Judges see only the horses and categories in the classes they are seated on.
Results become public when the show publishes them: the horse, its owner or stud, the class and the placing. Scores before publication are not public.
We use processors for email delivery, push notification and hosting. They act on our instructions and hold data only as long as needed to deliver the service.
05How long
Show records — entries, results, invoices — are kept for as long as the organiser needs them as the historical record of the show, and because a result is a permanent fact about a horse.
Account records are kept while the account is active and for as long afterwards as accounting or legal obligations require.
Deleting an account does not withdraw a published result, which is part of the show's own record.
06Your choices
You may ask for a copy of the personal data we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it.
You may object to processing and, where processing rests on consent, withdraw that consent at any time.
Requests are answered within 30 days. Where a request concerns show records, we will pass it to the show organiser, who is the operator of that show.
07How it is protected
Access is by role and checked on the server for every request. Hiding a control is never treated as a substitute for authorisation.
Documents about a person — passports, invoices, confirmation letters — are held on private storage and served only to accounts entitled to them.
Sessions are held in cookies that cannot be read by scripts, and every authenticated action is recorded against the account that took it.

This policy is updated when our practices change, and the date at the head of the page changes with it.
